Under general supervision, the Part-Time Sales Assistant provides assistance and administrative support to the Director of Sales and Marketing, the Sr. Sales Manager, Sales Managers and a Marketing Manager.

JOB DUTIES (including, but not limited to):
•Create and maintain event files & checklists for each event
•Assist Sales Managers and Marketing Manager in following up with clients, advertisers and sponsors regardingdeposits, insurance and other related license agreement requirements
•Collect credit card authorization forms and process event-related charges for Sales and Event ServicesDepartments
•Assist Sales Managers in updating booking information in the computerized event booking and managementsystem
•Send out marketing/rental materials upon request; assist facility users in finalizing booking arrangements
•Prepare reports and correspondence
•Assist Sales Managers in the preparation of event license agreements and related correspondence; reviewdocuments for completeness and accuracy
•Coordinate client welcome gift program
•Assist Marketing Manager with graphic design projects and newsletter on an as-needed basis
•Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, andwork cooperatively and jointly to provide quality seamless customer service
•Monitor and compare data to determine compliance with prescribed operating standards
•Perform other duties as required

SPECIAL KNOWLEDGE & ABILITIES:
Knowledge of:
•Business letter writing and basic report preparation
•Principles and procedures of financial record keeping and reporting; basic arithmetic calculations
•Outstanding customer service skills
•Must have excellent computer skills in Microsoft Office applications
•Graphic design skills and creative thinking
•Social media platforms
Ability To:
•Perform detailed secretarial work; Type proficiently
•Comprehend and apply administrative and departmental policies and procedures
•Work independently in the absence of supervision
•Prioritize work and effectively resolve workload issues•Communicate clearly and concisely in the English language, both orally and in writing
•Establish and maintain effective working relationships with those contracted in the course of work
•Produce written documents in the English language with clearly organized thoughts using proper sentenceconstruction, punctuation and grammar
•Work a flexible schedule. This may include early mornings, days, evenings, occasional weekends, holidays,extended (long) work days and extended numbers of days

PREFERRED QUALIFICATIONS:
Experience:
•Minimum of two (2) years of increasingly responsible experience in an administrative support position, preferablyin a hotel, convention center, stadium, arena, performing arts or related public assembly facility
Education / Training:
•High school diploma or equivalent GED
Licenses or Certificates:
•Possession of, or ability to obtain, a Virginia driver’s license


SALARY: Hourly rate of $12.07 per hour with no minmum number of hours guranteed.
